Since sales meetings, training days, and team-building activities are key ways to retain and motivate your sales force, we make it easier than ever to organize these events.

Scott Ritzmann has recruited an Events Operations Manager with more than 12 years of experience planning events of all sizes across the U.S. and internationally. Fitting perfectly into the Sales Aces philosophy, she provides constant communication and detailed event execution throughout the project life cycle.

What can you expect from outsourcing your event planning to Sales Aces?

  • Extensive due diligence and good listening, making sure that we understand what a client is really trying to accomplish with a specific event or meeting.
  • As a part of every proposal, we will do a venue availability study for the city desired for your meeting or event. We will contract & negotiate the best possible rates with hotels and venues for sleep rooms, meeting & function space, necessary audio-visual equipment, and meals. We will place a "hold" with the venue until a client makes final decisions.
  • Once we receive a signed agreement from a client, an Event Manager will be assigned for the program. The Event Manager will be dedicated to planning, managing, and executing all aspects of the event and will also be the on-site manager for the program. Additional staff may be added as the size of the event warrants. Prior to the program, the Event Manager will constantly communicate with the client and will keep the client informed on how the plans are progressing.
  • After receiving an invitation roster from the client, customized invitations will be created. Upon approval, these will be mailed, faxed, or e-mailed to invitees. A preliminary agenda, meeting outline, and registration form will also be included with each invitation.
  • Upon receiving registration forms from attendees, flight arrangements will be made for the participants (at the client's request).
  • Arrangements will be made for all ground transportation to/from the airport, as well as for any transportation requirements for offsite dinners or events.
  • The Event Manager will coordinate all aspects of the event with the CMS (Convention Service Manager) at the venue and/or hotel, including the following:
    • Arrange for all meeting and function space.
    • Obtain menus and make meal recommendations to client for each function requiring food & beverage.
    • Arrange for all required audio-visual equipment
    • Secure sleep rooms and obtain upgraded rooms for VIP's
    • Advise hotel of special room requirements (refrigerators, cribs, arrangements for physically challenged participants, etc).
